Roles and permissions

What Owner, Full access, Can edit, Can comment, Can view, and Can chat can each do.

Every teammate in Worklittle Business has a role. The role decides which pages they see, what they can change, and how much the chat assistant is allowed to know about your company.

The six roles at a glance

| **Owner** | Full control of the company workspace, including handing ownership to someone else. |
| **Full access** | Runs the team, billing, settings, and hiring data. Same day-to-day power as Owner except ownership transfer. |
| **Can edit** | Posts jobs, moves candidates and employees, edits calendars and documents, runs hiring workflows. |
| **Can comment** | Sees hiring and people data, leaves notes and suggestions, but cannot publish or overwrite most records alone. |
| **Can view** | Read-only across jobs, candidates, employees, and related pages. |
| **Can chat** | A personal employee experience: chat, own profile, own calendar, own documents, and internal job openings - not the hiring pipeline. |

If a page is hidden for someone's role, it is not a bug. The sidebar only shows what that role is allowed to use.

Can chat keeps company data private

Can chat is built for everyday employees, not recruiters.

- They do not see Jobs, Candidates, Employees, Surveys, or Organization in the sidebar. - Business chat for Can chat is a personal assistant. It can help with their own profile, PTO and employment details that belong to them, and internal openings at their company. - It cannot pull the candidate pipeline, employee lists, billing, org settings, or other people's private records - even if they ask in chat. - They can apply to internal roles their company has posted.

That is intentional. Giving someone Can chat lets them use Worklittle at work without opening hiring or HR data to them.

Calendars and who can edit whom

- Can chat can manage their own calendar (availability, sick, PTO, and similar self entries). - They cannot freely rewrite other people's schedules. Editing someone else's calendar needs Can edit or higher. - In larger companies (more than about 15 people on the roster), Can chat usually only sees teammates in their own department on the team calendar. If they have no department set, they may only see themselves. - In smaller companies, Can chat may see the whole team calendar for awareness, still without edit rights on other people's days. - Can view and above can see the wider roster. Can comment can propose some changes. Can edit and above can make the changes stick.

Hiring and notes

- Can view can read jobs and candidates but not change them. - Can comment can leave notes and propose updates that an editor accepts. - Can edit can post and publish jobs, move candidates through stages, edit employees, and send stage emails. - Full access and Owner can also manage members, join requests, branding, billing, and spend limits.

Documents

- Everyone from Can chat up can open Documents for their own uploads and for papers shared with them to sign. - Every employee can download their employment verification letter. It cannot be signed or deleted. - Creating and editing organization HR documents needs Can edit or higher.

Choosing a role for someone

- Everyday employee who needs chat, PTO, and internal jobs - Can chat - Leader who should see the pipeline but not change it - Can view - Interviewer who leaves feedback - Can comment - Recruiter or hiring manager running the process - Can edit - Ops lead who also handles billing and invites - Full access - The person ultimately responsible for the company account - Owner

Give people the least access that still lets them do their job. You can raise a role later in one click.

Change someone's role

1. Open Organization. 2. Find them in the member list. 3. Open their row and pick a new role.

Most changes apply right away. Giving someone Full access, or transferring ownership, waits about a minute. See Why did Full access take a minute?. If they already have the app open, they may need to refresh before the sidebar updates.

Only Full access and Owner can change roles. Transferring the company to someone else is Owner only. See Transfer ownership and Invite teammates.
