Which role should I give each teammate?

A friendly guide to Worklittle Business roles, with picks for small businesses, startups, mid-sized companies, and enterprises.

Every teammate gets a role. The role decides what they can see and change. Here is who each one is for, and what we suggest based on the size of your company.

The roles in one minute

| Role | Who it is for | What they can do |
| --- | --- | --- |
| **Can chat** | Everyday employees | Chat with the assistant, see their own profile, calendar, time off, and documents, and apply to internal jobs. They do not see candidates or other people's records. |
| **Can view** | Recruiters or leaders who only need to look | See jobs, candidates, and employees. They cannot change anything. |
| **Can comment** | Recruiters whose changes need a sign-off | Everything Can view sees, plus notes and suggested changes. Someone with Can edit or higher approves them. |
| **Can edit** | Hiring managers and trusted recruiters | Post jobs, move candidates, update employees, and edit calendars and documents. |
| **Full access** | Owners, admins, and people you fully trust | Everything, including billing, settings, and inviting or removing people. |

Not sure? Start with less. You can raise someone's role any time and it takes effect right away.

Small business

A handful of people who all know each other. Keep it simple and let people help out.

| Person | Suggested role |
| --- | --- |
| The owner, and a partner or manager who helps run things | **Full access** |
| Anyone who helps hire, like a shift lead | **Can edit** |
| Everyone else | **Can chat** |

You probably will not need Can view or Can comment yet. Most small teams trust the people who hire to make changes directly.

Startup

Growing fast, with founders still close to hiring. Give hiring freedom to the people doing it, but keep billing with the founders.

| Person | Suggested role |
| --- | --- |
| Founders | **Full access** |
| Recruiters and hiring managers | **Can edit** |
| Interviewers and teammates on a hiring panel | **Can comment** |
| Everyone else | **Can chat** |

Mid-sized company

Several teams, an HR or people team, and more hiring at once. Changes start to need a second pair of eyes.

| Person | Suggested role |
| --- | --- |
| HR leads and a couple of admins | **Full access** |
| Senior recruiters and hiring managers | **Can edit** |
| Junior recruiters and coordinators | **Can comment** |
| Department heads who want to follow hiring | **Can view** |
| Everyone else | **Can chat** |

Enterprise

Large teams, outside agencies, and strict rules about who sees pay and personal data. Give each person only what their job needs.

| Person | Suggested role |
| --- | --- |
| A small group of system admins | **Full access** |
| Recruiting leads who own hiring decisions | **Can edit** |
| Recruiters and agency partners | **Can comment** |
| Executives, auditors, and people who only report | **Can view** |
| Everyone else | **Can chat** |
| Payroll, HR operations, or anyone who needs an exact mix | **Custom** |

Keep the Full access list short and review it when people change jobs or leave.

Make your own role

If none of these fit, choose Custom. You switch on exactly what someone can do, page by page. For example, payroll can see employees and pay without touching hiring, or a recruiter can manage candidates without posting jobs.

1. Open Organization. 2. Open the person's role menu and choose Custom at the bottom. 3. Switch on what they need and choose Save.

The chat assistant follows the same choices, so it only helps with what that person is allowed to do. For the full list of options, see Roles and permissions.

Change someone's role

Open Organization, find the person, and pick a new role. Only Full access and Owner can change roles. To add new people, see Invite teammates.
