Stage email templates

Auto messages per stage.

Write an email once per stage, and candidates hear from you the moment they move.

Set one up

1. Open the job, or your organization's email templates. 2. Pick the stage the email belongs to. 3. Write the subject and the body. 4. Save it as a named template.

You can keep more than one template per stage and choose between them, which is handy when a technical role and a sales role need a different tone.

Personalising with variables

Insert placeholders and they fill in per person, so one template covers everybody:

- The candidate's name - The job title - Your company name

Your logo can be attached so the email looks like it came from you rather than from a tool.

Which stages send on their own

Each stage has a Notify candidate switch, and two of them start out on:

- Applied is always on and cannot be turned off. Every applicant gets a confirmation that you received their application, which is the one message candidates most notice missing. - Sourced is on by default, so people you add yourself hear from you. You can switch this one off.

Every other stage starts off. Turn on the ones where a message genuinely helps, such as an invitation at Phone screening or a kind, brief note at Rejected.

Before you turn one on

- Send yourself a test and read it on a phone. - Check the tone. Automated does not have to mean cold. - Remember that a bulk stage move sends the email to everyone in that move.
