Calendar and attendance
Track shifts and time off, and invite candidates and employees to events.
Calendar shows who is working, who is out, and when, for the whole team or one person.
Views
| View | Use it for | | --- | --- | | Roster | The whole team for a day or week, in columns | | Individual | One person's shifts in detail |
Select a name in the roster to open that person's calendar. On a computer it opens in a large popup over the team calendar. Close it with the X in the top-right corner of the window or by clicking outside it. On a phone it opens as a sheet you pull down to close. To change how many days show, pinch with two fingers on a phone, or hold Ctrl (Cmd on a Mac) and scroll on a computer.
Entry types
- Available (green): when someone can work or meet - Sick and Paid time off (orange): time off - Busy (light orange): blackouts and meetings
Older On-site and Remote blocks still show.
Add or change a block
1. Open Calendar. 2. Drag on an empty part of a day to draw a block, or select an existing block. On a computer you can also right-click an empty spot to add an event there, or right-click an event and choose Delete. 3. Add a title (for example "Client visit"). If you leave it blank, the block shows its type. 4. Pick the type and adjust the start and end times. Use Add description for notes, an address, or a video link. 5. Close the editor to save. On a phone, tap Save in the top right (or Delete to remove the event).
New Available blocks start as 9 AM to 5 PM. Check All day for a full day. Sick and PTO are always all day.
To repeat a shift, use the repeat option in the editor to set a weekly pattern.
When you change one day of a repeating block, Worklittle asks which days it applies to: - This event: only that day - This and following events: that day and every later one. Earlier days stay as they are. - All events: the whole series. If you moved the day, every day moves by the same amount.
When you delete one, choose Only this event or All future events. Past days always stay.
Closing the editor without changing anything saves nothing.
Add people and schedule interviews
In the event editor, select Add people and search by name or email. You can add candidates, employees, and several people to one event. To invite someone outside Worklittle, type their full email address and select Invite by email. Sick and Paid time off cannot have people, so Add people is disabled for them. Switching an event with invitees to one of those types emails them a cancellation.
Send invites
1. Close the editor after adding people. Worklittle asks Invite people to your event. 2. Select Send invite to email them, or Don't send to keep them on the event without emailing. Clicking outside the prompt also saves without sending.
Each invite has Accept and Decline buttons and a calendar file for Apple Calendar, Outlook, or Google Calendar. Invitees do not need a Worklittle account.
Response dots
| Dot | Meaning | | --- | --- | | Green | Accepted | | Red | Declined | | Gray | Pending (invited, no answer yet) or Pending approval (not invited yet) | | Red ring | No email on file, or the email could not be sent |
Hover a dot on a computer to see its meaning. You get a notification when someone answers.
Employees and changes
- Employees you add see the event on their own calendar, striped gray until they accept. If they decline, it leaves their calendar. - If you change an event's time or type, Worklittle asks whether to send an update. Existing answers are kept. Changing the title or description never asks. - Deleting the event or removing someone emails them a cancellation. The old invite link then shows it was canceled and who to contact.
Schedule from a profile (fastest)
1. Open the person in Candidates or Employees. 2. In Interviews, select Schedule. The editor opens with them already added. 3. Pick a time, close the editor, and select Send invite.
To let a candidate choose the time, select Send invite next to Schedule in Interviews. They get an email with a Pick a time link to your calendar.
The Interviews section lists every event the person is on, with date, job, and their answer. The job defaults to the role they most recently applied for. Select it to choose another job (jobs they applied for are listed first). To remove an interview, right-click it (press and hold on a phone) and choose Delete. That removes the person from the event, and the event is deleted if they were the only guest.
Schedule from the calendar
1. Open Calendar and drag over the time slot. 2. Add a title, for example "Phone screen with Sam". 3. Select Add people, pick the candidate and any teammates, close the editor, and select Send invite.
Share your calendar
Select … → Copy link at the top of Calendar. On a phone this opens the share sheet. On someone else's calendar, it shares theirs if you can edit it. Anyone with the link can pick a time from your open times and request it, without an account.
Links end in /30min. Change the end to set the meeting length, for example /15min, /45min, /90min, or /2hr (5 minutes to 8 hours). Times show in the visitor's time zone, which they can change under the month.
- Open times are your Available blocks. Without any, weekdays 9 AM to 5 PM in your time zone are open. - Sick, Paid time off, Busy, interviews, and events you are invited to are blocked. - Each copy creates a new link that expires after 30 days. You can have up to 100 active links; a new one past that expires your oldest.
When someone picks a time, you get a notification and an email, and the request shows on your calendar striped gray. Select it to Accept, Decline, or Suggest another time. Accepting adds the meeting and emails them a confirmation. If you suggest a new time, they accept or decline from their email.
Connect and manage calendars
Select … (More) at the top of Calendar.
- Copy link: copies a booking link and opens the share sheet (see above). - Connect calendar - Google Calendar and Outlook: show your busy times on your Worklittle calendar and block them on your booking link. Only busy times are read, never event titles. Select Connect again to add another account. - Import URL: paste a public iCalendar link (webcal:// or https://). It refreshes about every 2 hours. - Upload file: add an iCalendar file (.ics, .ical, .vcs) or a CSV export. A CSV needs start and end columns, such as the Google or Outlook export with Start Date, Start Time, End Date, End Time, and All Day Event. - Subscribe to this calendar: add your Worklittle calendar to Apple Calendar, Google Calendar, or Outlook, or copy the subscribe link. Treat that link like a password. - Manage calendars: switch Available, Busy, Sick, and Paid time off on or off. Each connected Google or Outlook account has its own switch under its email, and uploaded or subscribed calendars are under Subscribed calendars. These choices are saved in your browser.
Imported events show as gray Busy blocks without titles. Events marked free, cancelled, or already past are skipped. You can import up to 10 calendars. To remove one, right-click it (press and hold on a phone) in Manage calendars and choose Delete, or Disconnect for a Google or Outlook account.
Time off and balances
Sick and PTO entries count against the person's remaining balance. If a request would take the balance below zero and the person cannot approve their own time, it waits for a manager. See Approve schedule changes. To auto-fill coverage when someone calls in sick, see Automations overview.
